Standards, expectations, procedures, and professional ethics for all tutors representing THELADE Consult.
Introduction
THELADE Consult is committed to delivering high-quality academic support and international exam preparation to students locally and globally. This Tutor Policy Document outlines the standards, expectations, procedures, and professional ethics required of all intending tutors.
The purpose of this policy is to ensure consistent excellence, professionalism, safety, and accountability across all tutoring engagements — whether conducted online or in-person.

- Professionalism – Maintain high ethical, academic, and interpersonal standards.
- Competence – Deliver accurate, up-to-date and well-prepared lessons.
- Respect – Approach every student with patience, cultural sensitivity, and empathy.
- Confidentiality – Protect student information and learning records.
- Integrity – Refrain from misconduct, cheating, or any form of academic malpractice.
Scope of Tutoring Services
- Prepare students for international examinations, including but not limited to SAT, ACT, GRE, GMAT, IELTS, TOEFL, IGCSE, Cambridge Checkpoint, IB, and AP.
- Teach all subjects and skill areas across preschool, primary, secondary, post-secondary, and adult education levels.
- Train students locally and internationally, both online and onsite (where applicable).
- Provide group or one-on-one tutoring sessions.
Tutor Recruitment and Onboarding Requirements
- Submit a complete application (CV, cover letter, qualifications, and references).
- Demonstrate subject mastery or exam-preparation competence.
- Undertake a teaching demonstration or mock lesson.
- Sign THELADE Consult Tutor Agreement and Code of Conduct.
- Complete orientation training on digital tutoring tools, lesson planning standards, student engagement strategies and assessment procedures.
Teaching Expectations
- Create well-structured lesson plans and share them with supervisors when required.
- Begin and end classes on schedule.
- Provide interactive, student-centered teaching.
- Follow THELADE Consult curriculum outline where applicable.
- Give timely and constructive feedback.
- Assess students regularly to measure progress.
- Maintain accurate attendance and performance records.
Online Tutoring Standards
- Have a stable internet connection and functional devices.
- Use approved digital tools/platforms (Zoom, Google Meet, etc.).
- Deliver sessions in a quiet, professional environment with good lighting.
- Keep cameras on during sessions (except where students’ privacy requires otherwise).
- Upload materials, assignments, and assessment results promptly.
- Avoid recording students unless explicit permission is granted.
Communication Guidelines
- Use clear, respectful language and avoid personal conversations beyond academic needs.
- Respond to messages within 24 hours.
- Communicate progress, challenges, and recommendations only to Parents/Guidance.
- Avoid discussing personal details about other students.
- Report challenges promptly, inform THELADE Consult ahead of any absence or schedule change, and attend periodic evaluation and development meetings.
Ethics, Conduct & Boundaries
- Avoid favoritism, bias, discrimination, or harassment of any kind.
- Maintain strict academic honesty.
- Never exchange personal contact details unless officially approved.
- Never engage in romantic, abusive, or exploitative behavior toward students.
- Respect cultural diversity and international learning differences.
Compensation & Payment Structure
- Payment will follow agreed contractual terms.
- Tutors must submit attendance reports to process payments; late submission may delay compensation.
- Rates may vary based on subject specialization, level of class, examination type, experience, and certification.
Performance Evaluation
- Student performance and improvement.
- Punctuality and attendance.
- Professional communication.
- Teaching methodology and lesson quality.
- Feedback from students/parents.
- Compliance with THELADE Consult policies.
- Tutors who fail to meet expectations may receive warnings, mandatory retraining, temporary suspension, or termination.
Disciplinary Measures
Violations of policy may result in disciplinary action, including but not limited to formal warnings, reduced assignments, contract termination, or reporting misconduct to relevant authorities (in severe cases). Examples include repeated lateness or cancellations, inappropriate communication, academic malpractice, breach of confidentiality, and discrimination or harassment.
Tutor Development
- Access to teaching resources and training materials.
- Workshops on exam preparation strategies.
- Opportunities for certification and professional development.
- Technical support for digital platforms.
- Tutors are encouraged to engage in continuous learning, share best practices, and participate in peer reviews.
Health, Safety, and Child Protection
- Maintain appropriate boundaries with minors.
- Report any suspicion of abuse immediately.
- Avoid one-on-one private physical meetings without supervision (for minors).
- Follow online safety procedures.
Confidentiality and Data Protection
- Keep student information secure and use data only for academic purposes.
- Store materials on approved platforms and delete sensitive information when no longer needed.
Termination of Engagement
- Engagement may be terminated for policy violations, unsatisfactory performance, contract or confidentiality breaches, or failure to follow standards.
- Tutors may resign by giving appropriate notice according to contract terms.
Agreement
- All tutors must sign a declaration acknowledging they have read and understood this policy.
- They agree to comply with all terms and understand the consequences of violations.
- This policy document may be reviewed and updated periodically to maintain operational excellence.
